Terms and Conditions of Booking

 When placing a booking or accepting a place at Harrogate Gymnastics (including club or Academy) the following terms and conditions apply.

Booking

i Bookings should be made in advance via our booking site, in person, or over the phone.

ii Recreation classes run 46 weeks of the year and the monthly payment is based on 45 weeks averaged across 12 equal monthly payments.

iii Squad classes include 12 weeks unpaid covering for cancellations and closures due to Holidays.

iv Members must adhere to the member’s/visitors policies and/or relevant handbook.

v Making a booking with Harrogate Gymnastics is regarded as acceptance of our terms and conditions.

Recreation Gymnastics Classes / Camps / Gymnastics Squad Classes / Parties

i All Pay monthly classes are booked until we receive written notice of withdrawal (the notice period is one month) or you may log in to your account and cancel in this way.

ii For pay monthly classes payment will be taken each month on the 1st of the month after any initial payments

iii If payment has not been received prior to the child’s first class of the month, Harrogate Gymnastics reserves the right to refuse entry.

iv Sessions missed due to sickness or holidays will not be refunded.

v Harrogate Gymnastics reserves the right to offer your place to another child if no payment has been made.

vi Payment of camps or other holiday activities and parties is required at the time of booking. 

Methods of Payment / Fees

i Harrogate gymnastics accepts payments via our online payments gateway. We are able to accept payment in cash or card in person if required. Please contact us for more details.

ii The amount to be paid by you will be detailed to you at the time of booking.

iii If an account is more than one month in arrears then no new bookings will be accepted until the outstanding invoices have been paid.

Booking Confirmation

i All bookings will be confirmed by email.

ii Please ensure that you give a valid email at the time of booking otherwise Harrogate Gymnastics will not be able to send an invoice/receipt and confirm the booking.

iii Upon receiving an invoice/receipt you must check that the information contained within it is correct. Should any information be incorrect Harrogate Gymnastics must be notified so that any required reasonable changes can be made.

iv Should you not receive an invoice/receipt please contact Harrogate Gymnastics so that one can be sent to you.

v Invoices are not considered confirmation of booking until payment has been made in full.

Cancellations

i Cancellations for regular classes must be made in writing one month in advance. You can also log into your account online and cancel from here. 

ii Cancellations for camps, holiday activities and open gym type sessions must be made in writing no later than 72 hours in advance. Cancellations with less than 72 hours notice will still be chargeable, and non-attendance with no cancellation will still be chargeable.

iii Cancellations for parties are required 4 weeks in advance of the party, however dates can be changed up to two weeks before the party.

iii Payment is required where notice of cancellation did not meet the required period and the required form.

iv Refunds will not be given where notice of cancellation did not meet the required period and the required form.

v Should a class need to be cancelled by Harrogate Gymnastics for any reason, a replacement class will be offered.

vi Refunds will not be given for children unable to attend a replacement class.

vii Harrogate Gymnastics is not liable for any costs incurred as a result of a cancellation.

Personal Property

i Parents are encouraged to label personal belongings with the child’s name.

ii Harrogate Gymnastics nor any of it’s staff accept liability for the loss or damage of personal/valuable property brought to the venue .

Complaints Procedure

ii Complaints, compliments, or suggestions can be made in person or via email or phone call as set out in our Grievance Procedure.

Liability

i All reasonable endeavours have been made by Harrogate Gymnastics to avoid injuries being suffered by those attending any classes, camps, parties, or any other activity held at the venue. Due to the nature of some of the activities undertaken by attendees there is an inherent risk of injury for those participating in any classes, camps, parties, or any other activity held at the venue.

ii By making a booking you are confirming that you are the parent or guardian of the child or children that is the subject of the booking.
